How we estimate this

An estimate, not a guarantee. It assumes you order before 12pm BST on a working day and your artwork is approved the same day, then adds the working days to dispatch for the options you chose and 1 to 2 working days of delivery to the UK mainland, skipping bank holidays.

Free artwork check and instant on-screen proof, with a manual proof available for £12. If we make a print error, we reprint it free. See our refund policy.

Stapled Booklets for Events, Exhibitions and Fetes

An event programme is usually an A5 stapled booklet of 8 to 16 pages. We print A5 (148 x 210mm) and A4 (210 x 297mm) stapled booklets with 8, 12, 16, 20 or 24 pages, on 170gsm silk throughout, from 50 copies. They suit theatre and concert programmes, sports fixtures, show and festival guides, conference agendas and exhibitor lists.

What goes in. The cover carries the event name, date and venue. Inside: a welcome, the timetable or running order, a map or floor plan, the performers, teams, speakers or exhibitors, and a page for sponsors or advertisers. The back cover is a good place for a sponsor or the next event's date.

How many pages. Pages come in fours because each sheet is folded and stapled through the middle, and the covers count as pages. List the content page by page, then round up to 8, 12, 16, 20 or 24. The booklet page counts guide shows how the pages fall, and the A5 booklet spec page gives the artwork size.

Setting up the file. Each A5 page is 154 x 216mm including 3mm bleed. Keep text 8mm inside the trim, and a little more near the staples. Upload one PDF with single pages in reading order, from the front cover to the back. Our booklet templates mark the trim, bleed and safe area.

Plan back from the date. Programmes often wait for the final running order, so leave enough time. The automatic file check is free and covers size, bleed, colour mode, resolution and fonts, but not names or times, so have a second person read the proof. The dispatch time is shown on the booklets page, counted in working days from proof approval, and most mainland deliveries arrive 1 to 2 working days after dispatch, as an estimate.

Booklets are zero-rated where they qualify under HMRC Notice 701/10. Delivery is free to UK mainland addresses.

How Events, Exhibitions and Fetes uses Stapled Booklets

Theatre, concert and school show programmes

An A5 booklet with the cast or performers, the running order, a director's note and a page for local sponsors.

Sports fixtures and match-day programmes

An A5 programme with the squads, the fixtures, a club message and advertising from local businesses.

Conference agendas and exhibitor lists

An A4 or A5 booklet with the agenda, speaker biographies, a floor plan and the exhibitor list.

Worked example: a village festival guide

The guide needs a cover, a welcome, two pages of timetable, a map, four pages of stalls and activities, two pages of sponsors and a back cover: 12 pages. The committee orders 250 A5 booklets and sends the final file once the timetable is confirmed.

Design tips

  • Put the timetable on the first inside spread, where people look first.
  • Use a clear map with numbered locations that match the listings.
  • Sell the back cover to a sponsor if you need to cover costs.
  • Plan in fours and decide each page's content before you design.
  • Keep text 8mm from the trim and further from the staples.
  • Check every time and name on the proof with a second person.

Stapled Booklets for Events, Exhibitions and Fetes: FAQs

What size is an event programme?

Most event programmes are A5 (148 x 210mm), which is easy to hold and to hand out at the door. A4 (210 x 297mm) suits a conference agenda or an exhibitor guide with a lot of text and a floor plan. We print both as stapled booklets with 8 to 24 pages.

How many programmes should we order?

Start with the number of tickets sold or the expected attendance, then decide whether every guest gets one or one per group. Add spares for staff, sponsors and late sales. Booklets come in quantities of 50, 100, 250 and 500, and prices and minimum quantities are per design.

Is there VAT on programmes?

Stapled booklets are zero-rated for VAT where they meet the conditions in HMRC Notice 701/10. Roller banners, posters and correx boards for the same event are standard-rated at 20%. Your basket shows the VAT on each line before you pay, and every paid order comes with a VAT invoice.

Can we include adverts from sponsors?

Yes. Adverts from local businesses are common in programmes and can help cover the cost. Ask each sponsor for a print-ready PDF or a high-resolution logo at the size you have agreed, and check their details on the proof before you approve it.
