Leaflets and Flyers for Charities, Schools and PTAs
Charity leaflets and school flyers are usually A5 (148 x 210mm) or A6 (105 x 148mm). We print leaflets and flyers in A6, A5, A4 and DL (99 x 210mm), single or double-sided, on 135gsm gloss, 170gsm gloss or 170gsm silk, from 100 copies. Leaflets are zero-rated for VAT where they qualify under HMRC Notice 701/10, whether or not you are a charity.
Which size for which job. A6 is a handout or a book-bag flyer, small enough to slip into a reading folder. A5 is the most common size for an appeal or an event, with room for a photo, a short story and the details. A4 suits a newsletter, a timetable or a fair map. DL fits a standard DL envelope, so it works as an insert with a mailing or a thank-you letter. The leaflet and flyer sizes guide compares them.
Which paper. 135gsm gloss is light and suits large door drops and book-bag flyers. 170gsm gloss or silk feels firmer and suits an appeal leaflet that people keep.
Setting up the file. An A5 leaflet file is 154 x 216mm, including 3mm bleed on every edge, with text kept 5mm inside the trim. Our leaflet templates give every size in PDF and other formats for Word and Canva users.
Checking and delivery. Every upload gets a free automatic check for size, bleed, colour mode, resolution and fonts, and you approve the on-screen proof before you pay. The check can't read your dates or donation details, so have a second person check those. The dispatch time for your options is shown on the leaflets page, counted in working days from proof approval. Delivery is free to UK mainland addresses, and every paid order has a VAT invoice.

Fundraising appeal
An A5 double-sided leaflet with a photo and a short story on the front, and how to give on the back: a web address, a QR code or bank details for donations.
Book-bag flyer for a fair
An A6 or A5 flyer with the date, time, place and the stalls or activities, sent home with each family a week or two before the event.
Newsletter or event timetable
An A4 double-sided leaflet carries a term's news, a fair map or a sponsored walk route, folded by hand if it needs to fit a book bag.
Worked example: a primary school summer fair
The school office says there are about 320 families. The PTA adds 30 spares for staff and reception, so it needs about 350 flyers. It orders 500 A5 flyers on 135gsm gloss, double-sided, and keeps the rest for the fair day itself.
Design tips
- Lead with the date, time and place. Put them on the front in the largest type after the event name.
- One message per leaflet. An appeal leaflet asks for one thing: a donation, a sign-up or a visit.
- Make giving easy to find. Put the web address, QR code or bank details in one clear box on the back.
- Leave space for a sponsor if you have one, but keep their logo smaller than your event details.
- Keep text 5mm inside the trim, as the template shows.
- Ask a second person to read the proof, especially dates, times and donation details.

Are charity leaflets VAT free?
Leaflets are zero-rated for VAT for everyone, charity or not, where they meet the conditions in HMRC Notice 701/10. In short: a single sheet no bigger than A4 (or up to A2 folded to A4), on limp paper, in a run of at least 50, with no more than 25% of the area for filling in. Your basket shows the VAT on each line before you pay.
What is the smallest number of leaflets we can order?
Leaflets start at 100 copies, then 250, 500, 1,000, 2,500 and 5,000. Prices and minimum quantities are per design, so a version for a different event or a different school counts as a separate design. For a small event, 100 or 250 A6 or A5 flyers is often enough.
Which leaflet size fits in a book bag?
A6 (105 x 148mm) and A5 (148 x 210mm) both fit easily in a book bag or reading folder without folding. A4 needs folding by hand. Most PTAs use A5 when they need room for a list of stalls, and A6 for a short reminder with only the date, time and place.
Can we print different versions for each class or event?
Yes. Each version is a separate design, because prices and minimum quantities are per design: a flyer for the summer fair and one for the Christmas fair are two designs, each from 100 copies. If only a small detail changes, such as a class name, it is often simpler to print one version and leave a space to write it in by hand.
